How we collect, use and protect your personal information and your family’s photos.

Effective 17 October 2026 · Last updated 17 October 2026

1. About this policy

Your family's photos are precious, and we treat them with care. This Privacy Policy explains what personal information we collect when you use tahananframes.com or order a portrait, how we use and protect it, and the rights you have under the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission.

The personal information controller is Lit Studios, operating under the registered trade name LIT.STUDIOS PHOTOGRAPHY AND VIDEOGRAPHY SERVICES, with business address at G/F JRSL Building, 584 Dalupan St., Manila, Metro Manila 1008, Philippines.

2. Information we collect

  • Contact and account details: your name, email address and mobile number. If you sign up with a password, we store it only in hashed form, so no one, including us, can read it. If you continue with Google, we receive your Google basic profile (name, email address and profile picture).
  • Delivery details: your delivery address, landmark and the location you pin on the map.
  • Photos and portrait details: the photos you upload, the names and approximate ages of the people (and pets) in them that you give us, your notes and change requests, and the portraits we create for you.
  • Order and payment details: the size you ordered, the amount, whether you gave marketing permission, and the payment status and reference we receive from PayMongo. Your card details are handled by PayMongo and are never stored by us.
  • Messages: what you write to us by email, phone or Messenger.
  • Technical information: basic information such as your IP address and browser type, which our servers and hosting providers record automatically to keep the website secure and working.

When you include other people in your portrait, please make sure they, or the parent or guardian of a child, are comfortable with sharing their photos with us for this purpose.

3. How we use your information

  • to process your order and confirm your payment;
  • to render your portrait, apply your requested changes, and print and frame your final version;
  • to deliver your frame and contact you about delivery;
  • to give you access to your account and to your digital copy;
  • to send you order updates and answer your questions;
  • to use your portrait in our marketing, only if you gave us marketing permission;
  • to keep our website and your account secure and prevent fraud; and
  • to keep the records that the law requires, such as for tax and accounting.

Your photos are used solely to render your portrait and are never used for any other purpose. We do not sell your personal information, and we do not use it for advertising profiles.

4. Legal bases

Under section 12 of the Data Privacy Act, we process your personal information because it is necessary to fulfil the order you place with us (contract), to comply with our legal obligations (legal obligation), and to protect our website and customers against fraud and misuse (legitimate interests). We use your portrait in marketing only with your consent, given through the marketing permission at checkout.

The Data Privacy Act treats age as sensitive personal information. When you tell us the approximate ages of the people in your photos, you consent to our use of that information, under section 13 of the Act, solely to render your portrait accurately.

5. Who we share it with

We share personal information only with service providers that help us run Tahanan Frames, and only as much as each one needs:

  • Payments: PayMongo, which processes your QR Ph and card payments;
  • Email: Resend and Google Workspace, which deliver our emails to you and handle our correspondence;
  • Hosting and storage: the providers that host our website and securely store your photos, portraits and order records;
  • Maps: mapping and address-lookup services, based on OpenStreetMap, that display the map and help you find your address;
  • Delivery: Lalamove and J&T Express, which receive your name, mobile number and delivery address to deliver your frame;
  • Portrait rendering: trusted service providers we configure to render your portrait, under settings that keep your photos private and never use them for any other purpose; and
  • Sign-in: Google, if you choose to continue with Google.

Some of these providers store or process information outside the Philippines. Where they do, we choose providers that protect it to a standard comparable to the Data Privacy Act. We may also disclose information when the law requires it, for example to comply with a lawful order of a court or government agency.

6. How long we keep it

  • Photos and portraits: kept while your order is active and for up to six (6) months after delivery so that you can re-download your digital copy, and then deleted. If you gave marketing permission, the portrait itself may remain in marketing materials until you withdraw that permission.
  • Order records: your name, order details, amounts and payment references are kept for as long as Philippine tax and accounting rules require.
  • Account details: kept while your account is open. You may ask us to close your account and delete your details, subject to the records we must keep by law.

7. How we protect it

We use reasonable organisational, physical and technical measures to protect your information. Our website uses encrypted connections (HTTPS), passwords are stored only in hashed form, access to photos and orders is limited to the people who need it to complete your order, and card payments take place entirely on PayMongo's secure payment page. If a personal data breach occurs that is likely to put you at risk, we will notify you and the National Privacy Commission as the law requires.

8. Your rights

Under the Data Privacy Act, you have the right to be informed about how your personal information is processed; to access it; to object to its processing; to have it corrected; to have it erased or blocked; to obtain a copy in a commonly used electronic format (data portability); to be indemnified for damages caused by inaccurate, incomplete, outdated, false, unlawfully obtained or unauthorised use of your personal information; and to file a complaint with the National Privacy Commission. Where we rely on your consent, you may withdraw it at any time.

To exercise any of these rights, email info@tahananframes.com with the subject “Privacy request”. We may ask you to confirm your identity before acting on your request, and we will respond as promptly as we can and within any period the law requires.

11. Cookies

We use only one cookie: a sign-in session cookie that keeps you logged in to your account. It is set when you log in and removed when you log out or when the session expires. Your account page may also remember small preferences in your browser, such as which updates you have already seen. We do not use advertising cookies, analytics trackers or tracking pixels.
